Privacy Policy

Before you publish this: this has been filled in with your real setup (sole trader, Hospitable + Stripe, Formspree, Airbnb/Booking.com cross-listing, no analytics yet), but it is still not legal advice. Have the whole page reviewed by a solicitor or a UK short-let-specialist template service before it goes live — particularly the sections on payment data and ID verification, which depend on exactly how Hospitable and Stripe are configured on your account.

This policy explains how Kudos Property Rentals ("we", "us", "our") collects, uses, and protects personal data when you visit this website, make an enquiry, or book a stay at one of our properties.

Who we are

Kudos Property Rentals is a trading name of Leon Emmett, operating as a sole trader, and is the data controller for the personal data described in this policy. If you have questions about your data, contact us at hello@kudospropertyrentals.co.uk.

As a sole trader we don't have a separate company registration — there's no Companies House number associated with the business.

What personal data we collect

Depending on how you interact with us, we may collect:

Enquiry form data: name, email address, requested check-in/check-out dates, property of interest, and any message you send us.
Booking data (once you book via our booking system): name, email, phone number, home address, arrival/departure times, number of guests, and any special requests.
Payment data: processed directly by our booking platform (Hospitable) and its payment processor, Stripe. We do not store full card details ourselves.
ID verification data (if applicable): some bookings may require ID verification through Hospitable prior to check-in.
Technical data: IP address, browser type, and pages visited, collected automatically by our hosting provider for security and performance purposes. We don't currently run a separate analytics tool — if we add one in future (e.g. Google Analytics), it will only load once you've given consent via the cookie banner below.

How we use your data

To respond to enquiries and process bookings
To communicate with you before, during, and after your stay
To meet our legal and tax obligations (e.g. record-keeping for HMRC)
To improve this website and our services
To send you marketing communications, but only if you've opted in — you can unsubscribe at any time

Our legal basis for processing

We rely on: contract (to fulfil a booking you've made), legitimate interests (to respond to enquiries and improve our service), legal obligation (tax and accounting records), and consent (for optional marketing emails).

Who we share your data with

We share data with the third parties needed to run your stay and this website:

Hospitable — our booking and property management platform
Stripe — to process payments securely
Airbnb and/or Booking.com — where a booking originates from one of those channels, in addition to our direct site
Formspree — to deliver messages sent via our contact form
Our web hosting provider, for the technical operation of this website

We do not sell your personal data to third parties.

Cookies

We use a cookie called kudos_consent to remember your cookie preferences — this is strictly necessary and doesn't require consent. You can review or change your choices at any time using the "Cookie Settings" link in the site footer.

We currently use:

Essential: the consent cookie itself, always on.
Analytics: not currently active. If we add an analytics tool in future (e.g. Google Analytics), it will only load if you've given consent via the cookie banner.
Marketing: not currently active — reserved for future use, subject to the same consent requirement.

This site also loads fonts from Google Fonts' content delivery network, which involves your browser making a direct request to Google and sharing your IP address. Google Fonts does not set cookies for this.

International data transfers

Some of the third parties above (including Hospitable, Stripe, Airbnb, and Booking.com) may process data outside the UK/EEA. Where this happens, we rely on their standard contractual clauses or equivalent safeguards to protect your data.

How long we keep your data

We keep enquiry data for 12 months if no booking follows, and booking data for 6 years to meet UK tax record-keeping requirements.

Your rights

Under UK GDPR, you have the right to:

Access the personal data we hold about you
Ask us to correct inaccurate data
Ask us to delete your data, where we're not legally required to keep it
Object to or restrict certain processing
Withdraw consent for marketing at any time

To exercise any of these rights, contact us at hello@kudospropertyrentals.co.uk. If you're unhappy with our response, you can complain to the Information Commissioner's Office (ICO).

Children's data

This site and our booking process are not directed at children, and we don't knowingly collect data from anyone under 18 beyond what's needed to note the number/age of children on a booking for occupancy purposes.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top will always reflect the latest version.
